Start with who, what and when

Write down four campaign basics

Before choosing a postcard size or requesting a quote, write down these four details. For an underperforming campaign, record what was actually mailed—not just what you intended.

  • Audience: who should respond, and which area should the mailing reach?
  • Offer: what are you promoting, and what should the recipient do?
  • Deadline: when should recipients have the piece, and when does the offer end?
  • List: do you have customer addresses, need a mailing list or need help deciding?

Choose recipients before adding personalization

Reaching past customers is a different task from introducing your business to a new neighborhood. Discuss list sources, geographic coverage, duplicates and outdated addresses before deciding whether names, tailored offers or different versions would make the piece more relevant.

  • Describe the list you have; do not send customer records with an initial request.
  • Ask which list checks and personalization work are included in the proposed scope.
  • Identify who will approve recipient groups and sample versions.

Before approving the project

A mailing needs more than artwork

Ask the provider to define what is included, who approves each stage and which dates are feasible. Scope, pricing and availability need confirmation before you commit.

01

Design and copy

Confirm who writes the offer, prepares artwork and checks the response instructions. Agree on required formats, proof approval and revision scope.

02

Print production

Discuss quantity, dimensions, paper, finishing and any personalized versions. Ask for a quote that distinguishes creative work, printing, list costs and postage.

03

Mailing and timing

Confirm responsibility for address preparation, postal requirements and handing the pieces over for mailing. Distinguish the desired arrival window from the mailing date, and ask what could affect either.

Test the response path before mailing

Use a phone to scan the proof’s QR code or visit its web address, then follow the inquiry or purchase path yourself. Before production, agree on how responses will be recorded—such as a campaign-specific page, offer code or a consistent question at checkout. If a previous mailing underperformed, gather the mailed piece, audience, quantity, mailing date and recorded inquiries or sales so a provider can investigate targeting, the offer and tracking gaps separately.
